Getting Started / Account
Property Copilot is a compliant, trust-first rental management system for tenants and landlords. It automates the end-to-end rental workflow: list, apply, screen, sign, payment tracking, and report; so landlords and tenants can manage everything in one place.
New rentals/ listings: Currently supported in British Columbia (listing a property, rental applications, and new lease signing).
Existing rentals: If you already have a tenant, you can use Property Copilot for rent tracking, payments and rent reporting across Canada.
Go to app.propertycopilot.io and sign up with your email. You’ll then choose whether you’re a landlord or tenant, then complete verification (when required) to unlock features.
Identity verification helps prevent fraud and ensures a trusted rental community. For tenants, this prevents fake listings and landlord/property manager impersonation. For landlords, this reduces fake applicants and identity fraud.
You'll need a valid government-issued photo ID, like a driver's license or passport.
Go to app.propertycopilot.io/login and select Forgot Password. You'll then receive a password reset email.
Not yet. Email addresses can’t be changed on an existing account right now.
Yes, Property Copilot is a registered Canadian company built to support secure, compliant rentals.
We work with established third-party providers for critical workflows like credit data, identity verification, and electronic signatures, and we require user consent at every step.
Landlords and tenants only see the information that’s necessary for the rental process, and sensitive data is encrypted and protected.
Yes. Property Copilot works in a mobile browser today. Native iOS/Android apps are in development and will be launched soon.
Listing a Property
Log in as a landlord and create a new property from the ‘Property’ section of the app. You’ll enter key details like the address, unit type, rent amount, photos, and included utilities. Once the listing has been published, its ready to share with prospective tenants whether through direct link or QR code.
No. Creating and sharing a property listing is free. Paid features like tenant screening or premium tools are optional. See our pricing page for details.
Include clear, accurate details such as:
• Bedrooms and bathrooms
• Rent amount
• Included utilities
• Parking or storage
• Recent, high-quality photos
Complete listings help attract more qualified applicants.
Yes! You can manage multiple properties/ units from a single account. Each property keeps its own applications, leases, and rent records.
Property Copilot gives you a shareable listing link and QR code. You can post or send it anywhere, and interested tenants can apply directly through that link.
Applying for a Rental
Tenants apply using the listing link or QR code shared by the landlord. Property Copilot doesn’t operate a public marketplace, landlords control where and how their listing is shared.
Landlords may request information typically used to assess a rental application, such as contact details, employment or income information, rental history, and references.
Property Copilot only shares information the tenant has explicitly consented to provide.
Providing a Social Insurance Number (SIN) is optional. It’s only used (if the tenant explicitly consents) to help Equifax accurately match a credit file during a credit check.
SINs are encrypted, used only for the credit check process, and are never shared with landlords.
Currently Property Copilot supports one applicant per application. We are working on the ability to include roommates on an application.
A verified landlord has completed the ID verification process and confirmed their identity.
A verified listing means the landlord has provided documentation showing they’re authorized to rent the property.
Verification helps reduce rental scams and impersonation.
Tenant Screening & Verification
When a renter applies to a listing, landlords can request an applicant screening report. The report includes a credit check and identity verification.
Screening reports are delivered directly in the app. Tenants can also choose to purchase a screening report themselves and include it with an application.
Tenant screening credit checks are soft inquiries, which do not affect a tenant’s credit score and do not appear as hard checks on their credit file.
Screening reports include credit information such as credit score, credit history, payment patterns, and identity verification results.
Tenant screening reports are paid per report. For current pricing, see our pricing page.
Landlords don’t need to collect any information themselves. Property Copilot collects the required information and consent directly from the tenant during the application process.
Yes. Tenants can purchase a screening report to review their own information and, if they choose, include it with rental applications. Reports must be recent (less than 30 days old) to ensure accuracy.
Yes. Newcomers to Canada can still apply for rentals. If a credit check is requested, the report may show limited or no credit history, depending on the tenant’s profile.
Lease Signing
Yes. Leases signed through Property Copilot use legally recognized electronic signatures and include an audit trail showing who signed and when. Electronic signature compliance details can be found here.
The landlord sends a digital lease through the Property Copilot app. The tenant reviews the terms and signs electronically from a phone or computer. Once both parties sign, the completed lease is stored securely in each users account.
After selecting a tenant the landlord can create, preview and send a lease agreement for signature through Property Copilot. Once sent, the tenant is notified (via email and in-app notification) and can review and sign digitally.
Yes. Property Copilot provides province-specific lease templates for British Columbia (based on the standard BC Residential Tenancy Agreement). Required standard terms are included, and landlords can add custom addendums if required.
Common addendums include pet agreements, parking or storage agreements, maintenance responsibilities, and strata rules and regulations. These are usually attached as addendums to the standard lease.
Yes. Because leases are signed electronically, landlords and tenants can review and sign from anywhere with an internet connection.
Signed documents are accessible at any time and securely stored in the user's Property Copilot account, under the property the agreement was signed with.
Rent Payments
Property Copilot currently supports manual rent payment tracking. Landlords record the rent payments in the app after they’re received, creating a clear payment history for the tenancy.
Tenants pay rent directly to the landlord using the payment method agreed to outside of Property Copilot. Property Copilot is used to record those payments for tracking and rent reporting.
Once rent is received, the landlord records the payment under the property in their Property Copilot account. Recorded payments are used for rent history and, if enabled, rent reporting.
If rent isn’t paid, landlords should follow their province’s tenancy laws and dispute processes. Property Copilot does not replace legal or regulatory enforcement mechanisms.
Rent / Credit Reporting
When rent reporting is enabled, Property Copilot reports rent payment history to Equifax Canada.
Reported data reflects the rent payments recorded in Property Copilot and appears on the tenant’s Equifax credit file.
When rent reporting is enabled, the landlord records rent payments in Property Copilot. Those recorded payments are then reported to Equifax as part of the tenant’s credit file.
Rent reporting adds rental payment history to a tenant’s Equifax credit file. Over time, consistent on-time payments can strengthen a tenant’s overall credit profile.
The first reported rent payment typically appears on a tenant’s Equifax credit report within 30 days of being recorded. Ongoing updates are reported on a recurring basis.
Property Copilot reports rent payments to Equifax Canada.
No, past rent payments can’t be reported retroactively.
Different credit bureaus and scoring models can produce different scores. Property Copilot uses data from Equifax, which may differ from scores shown by services that rely on other bureaus or models.
Yes. For rent to be reported, the landlord must record the rent payment in Property Copilot.
If a dispute relates to rent data submitted through Property Copilot, contact our support team and we’ll review it. For unrelated credit information, disputes should be submitted directly to Equifax.
Rent reporting can encourage more consistent on-time payments by aligning tenant incentives with their credit history. Industry data shows that 1 in 3 delinquencies stop when tenants start reporting rent payments.
Billing & Subscriptions
Property Copilot offers optional paid plans for landlords and tenants. For current details, see our pricing page.
You can cancel your subscription at any time from Account Settings → Subscription. Access continues until the end of your current billing period.
You can upgrade or change your plan from Account Settings → Subscription.
Payment methods can be added or updated from Account Settings → Subscription.
Yes, receipts and invoices are available upon request. Contact Property Copilot support if you need a copy.
